Walsh is currently seeking an Executive Assistant at our LAX/Crenshaw project in Los Angeles, California.

Responsibilities

The Executive Assistant provides support to the Sr. Project Management team at the Crenshaw/LAX project in Los Angeles, CA. The main duties are as follows:

  • Event coordination for team building and client events
  • Maintains calendar for Sr. Project Manager(s)
  • Ability to keep Sr. Project Manager(s) on time to each call and meeting
  • Coordinates travel and expenses for Sr. Project Manager(s)
  • Schedule meetings, conference calls, and video conferences and take meeting minutes, as needed
  • Create and/or edit presentations
  • Creates and/or edits weekly project reports
  • Maintains project contact list
  • Creates and maintains filing system containing confidential documents
  • Updates hiring packets as needed
  • Expense reporting using Concur technology
  • Anticipate problems and critical issues in scheduling meetings
  • Answer phones and field questions or complaints
  • Handle confidential matters including onboarding, terminations, living allowances, and wage and salary information appropriately and with discretion
  • Use strategic thinking to seek ways to improve and increase the effectiveness of the project
  • Write correspondence on behalf of Sr. Project Manager(s)
  • Performs basic administrative tasks, e.g. photocopying and filing 
  • Schedule and coordinate quarterly project meetings from start to finish including invite lists, correspondence, and logistics  
  • Handle other strategic projects as needed

Qualifications

We are seeking candidates with the following qualifications:

  • College degree is required
  • Minimum of 5 years of work experience
  • At least 2 years if experience supporting a senior level executive
  • Outgoing, customer focused communicator
  • Ability to work in a faced paced environment with many interruptions
  • Ability to thrive in a dynamic, loud, and energetic environment
  • Ability to take direction and prioritize responsibilities
  • Strong follow-up skills
  • Self-motivated
  • Ability to work independently and consistently take initiative
  • Produce quality work and be accountable
  • Excellent interpersonal skills
  • Strong work ethic; strong attention to detail and organizational skills
  • Excellent communication skills, both verbal and written
  • High energy mentality and a good sense of humor a plus
  • Ability to maintain discretion at all times
  • Experience with event coordination preferred
  • Exceptional skills with MS Office Programs (Word, Excel and PowerPoint), Concur or other travel scheduling software
